FAQ - Employees
I added an employee, but I don't see them in Payroll Preparation. Why?
For an employee to be displayed during payroll preparation, 3 conditions must be met:
1. They must be active
2. They must have a valid date in Employment Periods and no last day worked date for the desired period (Employee file, Employment Periods tab)
3. They must be linked to an employee group (Description tab / Employee group).
An employee will not be working for an indefinite period. How do I temporarily remove them from Payroll Preparation until their return?
Their file can be set to Inactive (check the Inactive box in the employee's Description tab). An employer can also decide to leave them active and, during each Payroll Preparation, uncheck them from the employees to be paid.
I added a new item (earning, deduction, or taxable benefit). Do I need to specify for each employee the account to use to record this item correctly?
No. If the General Ledger links were created at the Employer level (Payroll menu, Configurations button / Employer / General Ledger Link), they apply to all groups and employees in the company. If this earning only applies to a specific Group, the General Ledger links can be created and/or customized in the Group (Payroll menu, Groups button, General Ledger Link tab). And if the earning applies to a single employee, customization can be done in the Employee's file (General Ledger Link tab).
I am calculating the payroll for an employee and the government deductions are not being calculated. Why?
If government deductions are not being calculated, you need to check a few points:
1. The gross salary for the period may be below the expected exemption amounts (especially for taxes)
2. Government deductions are exempt in the employee's file (Employee file, Exempt deductions tab)
3. The maximum contributions and deductions have been reached for the year (EI, QPP, QPIP)
I employ casual workers and I usually pay them separately from employees; by making regular entries. Am I required to create them in my payroll module?
No. It is possible to do so so that the CNESST contribution is calculated as payments are made. However, it is also possible to enter, before the end of the year, the amounts paid to casual workers in Payroll Adjustments so that the information appears on the Detailed Calculations form of the CNESST.
At the end of the year, how do I know what I paid to a casual worker if no tax slip will be produced?
The "Summary of Remunerations" report allows you to get the details by employee of the amounts paid per pay type. This information will be useful to produce the appropriate slips for casual workers if needed (such as T4A). These slips are not produced by EVO.
What is the impact on my accounting if an employee is identified as a "casual worker"?
A casual worker, as defined by the CNESST, is a worker who is not considered a regular employee but for whom the employer must pay a CNESST contribution. No tax slip will be produced for this worker. By defining a separate remuneration linked to a specific General Ledger account, it allows the user to record the expense incurred by this worker while performing Payroll Preparation.
